Part - Time Office Assistant

Summary of Position:
St. Joseph, RCC located in Babylon, is seeking a Office Assistant to provide necessary administrative support to the Faith Formation Director. Responsibilities vary and required initiative, sound judgment, and excellent organization skills. This is a part time position is a total of 24 hours a week. Hours are Monday – Wednesday 10-4, Thursday – Friday 1-4. The position requires working Tuesday and Wednesday evenings until 7:45pm and approximately 10 Saturdays during the school year (daytime hours are adjusted to accommodate evenings. This individual will report to the Faith Formation Director.

Duties:
Responsibilities include but not limited to:

  • Ability to answer phones and door.
  • Assist with the Faith Formation registration processing.
  • Record tuition and other fees received in the parish database.
  • Input of students and catechists into Parish Data System. Update student records, adds/deletes/changes information as needed, on a regular basis.
  • Maintain attendance records for Religious Education Classes, updates Parish Data System.
  • Process Catechist special requests for materials and copies.
  • Create and maintain sacramental spreadsheets for First Communion and Confirmation students.
  • Maintain sacramental record keeping systems for baptisms, as well as those who receive First Eucharist, First Reconciliation, and Confirmation. Print Certificates, necessary documents, and all correspondence for the sacraments.
  • Help set up initial supplies needed for classrooms as well as Catechists supplies.
  • Maintain accurate record keeping for Faith Formation events.
  • Assist with filing and mailings as needed.
  • Oversee and maintain program materials and supplies. Order sacramental textbooks, program textbooks, materials, and supplies.
  • Help secure closing of the offices/school in the evening after the completion of Faith Formation classes. Ensures machines are off, doors/windows locked, heat/air turned off.
  • Facilitate correspondences to parents related to financial billing, meeting schedule reminders for classes not in session, or sacramental meetings and other announcements as needed. Manage (alert system) to alert parents to class cancellation, and to remind them of upcoming special session dates.
  • Assist director with First Holy Communion, Reconciliation and Confirmation rehearsals, prayer services, Masses and parent meetings.
  • Help maintain the safety of the children when they arrive for and are dismissed from classes.

Position Requirements: It is important that the candidate have excellent telephone and strong interpersonal skills, and be able to multitask in a busy environment, accuracy and attention to detail. The ideal candidate must have strong computer skills which include Microsoft Office, experience with database programs, or willing to learn PDS and fast data entry skills. Employee Relations Manager

Summary of Position:
The Diocese of Rockville Centre, is seeking a Full-time Employee Relations Manager. This individual will report directly to the Director of Human Resources. Position requires a team player attitude, excellent interpersonal and communication skills, attention to details and project coordination. Duties:

Full Time – Development Assistant

St. John the Baptist Diocesan High School located in West Islip, NY is seeking an Assistant in the Development Office to work with Alumni and Special Events. Full-Time Bookkeeper

The Parish of St. Mary located in East Islip is looking for a Full-charge Bookkeeper to work 35 hours per week, Monday - Friday from 9:00 am to 5:00 pm.

Duties and Responsibilities: Utilizing advanced accounting software, such as, QuickBooks Pro and ADP PayForce; the individual is responsible for maintaining the Parish Payroll, General Ledger, Accounts Receivable, and Accounts Payable. Duties include but are not limited to: Process employee timesheets, run payroll checks, code and enter vendor invoices and run checks for payment. The Church of Saint Mary, located in Manhasset is seeking a full-time President to lead The Schools of Saint Mary, Nursery through Grade 12 with approximately 900 students on campus. The President serves as the Chief Executive Officer of The Schools of Saint Mary, reporting directly to the Pastor. Full Time - Facilities Manager

Sacred Heart Academy located in Hempstead, NY, is seeking a Full-Time Facilities Manager. The Facilities Manager is responsible for the operation and maintenance of Sacred Heart Academy’s 9-acre campus which houses a 95,000 sq ft main school building and 2 supplemental residences for the guidance department and administrative offices. Individual will direct the entire parish religious education program including all adult formation. Job Description: Saint Joseph, RCC located in Garden City is seeking an energetic, versatile creative and faith-filled practicing Catholic to facilitate the Faith Formation Program at the elementary and junior-high level. This Full-Time position is 35 hours per week, and manages Religious Education office staff.

The Director of Religious Education will report directly to the Pastor.

The Diocese of Rockville Centre is seeking an Accounts Payable Specialist. This full-time position is 35 Hours per Week: Monday - Friday 8:30 a.m. to 4:30 p.m. Individual will review and verify invoices; check requests and enter upload invoices into system.

DUTIES AND RESPONSIBILITIES
Responsibilities include but not limited to:
* Review and verify invoices/check requests; audit departmental accounting coding
* Enter and upload invoices into system and create A/P batches for approval of payment
* Audit and process expense reports
* Prepare and process electronic transfers/vendor payments
* Reconcile accounts payable transactions

Staff Accountant

Summary of Position:

The Catholic Cemeteries of the Diocese of Rockville Centre - Holy Rood Cemetery located in Westbury is seeking a full-time Staff Accountant. This full-time position is 35 Hours per Week: Monday - Friday 9:00 a.m. to 5:00 p.m. Individual will report to Manager of Financial Services and will work with Payroll / Investment Manager and Accounting Department personnel. Responsible for activities within the Accounting Department related to the completion of monthly journal entries, assisting with financial statement preparation, analysis and monthly accounting reconciliations. Internal Auditor

SUMMARY OF POSITION

The Internal Auditor for the Diocese of Rockville Centre will serve as a liaison between the outsourced internal audit function and the Audit Committee of the Finance Council. The Internal Auditor will be responsible for updating the Diocesan wide risk assessment, developing the internal audit program, coordinating and overseeing all outsourced internal audits and other related third party engagements as requested as well as monitoring and reporting on implementation of processes and procedures to address key risks identified in annual risk assessments. The Internal Auditor assures that work is performed in accordance with Professional Standards and within scheduled budgets and timeframes.

DUTIES AND RESPONSIBILITIES

Responsibilities include but not limited to:

  • Collaborate with Audit Committee and outsourced internal audit
  • Facilitate and communicate requests for information between the outsourced internal auditors and departments; serve as the point of contact regarding the overall process
  • Assist in the development of audit responses; review externally prepared draft reports for accuracy and completeness; recommend corrections as needed
  • Provide audit status updates to audit committee, finance council and senior management as needed
  • Assist management with the implementation of internal control and process improvements identified by outsourced internal auditor.
  • Maintain open communication with audit committee and senior management.

Religious Formation, Part-Time 

St. Rosalie Roman Catholic Church in Hampton Bays, NY seeks a part-time office assistant for the Religious Formation Office.
Requirements:

  • A confirmed Catholic person who regularly participates in Mass, is willing to do what is needed to increase knowledge of Catholic religion, increase her/his faith formation, can cooperate with those in authority, must be flexible and is friendly and welcoming.
  • Part time hours include: Monday (alternate weeks, 10:00 am-6:15 pm or 10:00 am- 2:30 pm); Tuesday (10:00 am-2:30 pm); Wednesday (some daytime hours); Thursday (daytime as needed); Sunday (alternate weeks, 9:30 am-12:45 pm during September to May, excluding Holidays.
  • Be available to work extra days/hours during the times of First Holy Communion and Confirmation.
  • Must be computer literate. Knowledge of ParishSoft programs and being bilingual (English/Spanish) are helpful.

Responsibilities:

  • Answer and return calls and messages.
  • Registration intake and computer input.
  • Collect and record fees and be accountable for information given to the accountant.
  • Maintain session charts, cathechist folders, attendance records and calendar.
  • Order necessary supplies.
  • Set up and breakdown rooms for sessions with needed supplies. Move table and chairs as needed.
  • Be welcoming and become familiar with children and parents/ guardians.
  • Proofread paperwork/ notices.
  • Be responsible to lock and unlock doors at appropriate times.
  • Assist the Director of Religious Education.
